Getting started
What is myGaji?
myGaji is a simple staff clock-in and payroll tool for small businesses. Your team clocks in from their own phones, and myGaji counts the hours and gets each payslip ready for you.
Do I need to download an app?
No. myGaji runs in any web browser on any phone or computer — there's nothing to install for you or your staff.
How long does it take to set up?
Just a few minutes. Register your business, add your staff and their pay rates, and your team can start clocking in the same day.
How does the free trial work?
You get 3 days free the moment you register — full access, and no credit card needed.
What happens when the trial ends?
Your account pauses editing until you're activated, but you can still log in and export your records. Once payment is confirmed we unlock it for a full year.
Clocking in & attendance
How do staff clock in?
They open your myGaji link, tap their name, and enter their PIN. Clocking out works the same way.
What is the staff PIN for?
It makes sure one person can't clock in as someone else. Each staff member gets their own PIN.
Can I stop staff clocking in from home?
Yes. Switch on "Require staff to be on-site" and set your business location — GPS then has to confirm they're actually there.
How do I set my business location?
In Settings, either tap "Use my current location" while you're at the shop, or type in the coordinates from Google Maps.
What if someone forgets to clock out?
myGaji automatically clocks them out at the end of their shift, so hours don't run all night by mistake.
Can staff share one phone to clock in?
Yes. A single phone or tablet at the counter works fine — each person just picks their name and enters their PIN.
Pay & payroll
Can I pay some staff hourly and others monthly?
Yes. Each person can be paid their own way — per hour, per day, or a fixed monthly salary.
Does myGaji calculate overtime?
Yes, if you turn it on. It works out overtime hours for you automatically.
Does myGaji handle EPF and SOCSO?
Yes. Set the EPF and SOCSO amounts for each staff member and myGaji deducts them automatically when calculating net pay. myGaji calculates and records the amounts — you still make the payments to KWSP and PERKESO as usual.
Can EPF and SOCSO be different for each staff member?
Yes. Every staff profile has its own EPF and SOCSO settings, so full-timers, part-timers and exempt staff are each handled correctly in the same account.
Do EPF and SOCSO show on the payslip?
Yes — each payslip lists the pay earned, EPF, SOCSO, advances and other deductions, then the final net pay, so you and your staff see the full breakdown.
How does running payroll work?
With one tap you get a summary for the whole team, plus a ready payslip for each person.
What pay periods does myGaji use?
Two per month: the 1st–15th, and the 16th to the end of the month.
Can I give a staff member a salary advance?
Yes. Record the advance with a note, and it's automatically deducted from their net pay and shown on their payslip.
Can I fix a mistake in someone's hours?
Yes, you can adjust records. Every change is logged, so you always know who changed what and when.
How is take-home pay worked out?
myGaji adds up the hours or days worked at each person's rate, applies overtime if enabled, subtracts any advances, and shows the net figure on the payslip.

How do staff receive their payslips?
You can send each person's payslip PDF straight to their WhatsApp in one tap.
Can I export everything to Excel?
Yes — you can export your data to Excel/CSV any time.
Can I print the payslips and payroll?
Yes, both the payroll summary and individual payslips can be printed.
Is my data backed up?
Yes, your data is backed up daily.
Managing staff
Is there a limit on how many staff I can add?
Yes — up to 30 staff per business, with unlimited shifts.
Can I add or remove staff whenever I want?
Yes, add or remove staff any time as your team changes.
What do I set up for each staff member?
Their name, pay type and rate, a PIN, and their shift or overtime settings if you use them.
Can staff see each other's pay?
No. Staff only clock in and out — pay details and payslips are for you as the owner.
Pricing & payment
How much does myGaji cost?
RM 1,399 per business, per year. One price, everything included.
Do you charge per staff member?
No — it's one flat price per business, no matter how many staff you have.
What's included in the price?
Everything: up to 30 staff, all features, WhatsApp payslips, Excel export, daily backups, and updates.
How do I pay and get activated?
Payment is arranged with us directly (cash or bank transfer). Once we confirm it, your account is activated for 12 months.
What about renewal after the first year?
You simply renew for another year to keep everything running without interruption.
Security, account & support
Is my business data private?
Yes. Each business has its own separate, isolated data — no other business can see yours.
Who can open the admin settings?
Only someone with your admin PIN can get into the settings and payroll area.
What if I forget my password?
On the login screen tap "Forgot password" and we'll email you a link to set a new one.
Does myGaji work on any phone?
Yes — Android or iPhone, and computers too, using any normal web browser.
